Administrative Assistant

Job Summary 


  • Part-time (20 hours), Non-Exempt Position
  • Reports to the Executive Director
  • Pay rate $15.00-$17.00 per hour (commensurate with background and experience)
  • The position is based in Nevada City, CA. 


The Administrative Assistant performs a wide range of administrative duties of a highly responsible and complex nature. Assists UWNC staff, board and committee members, and partner agencies to administer programs, events, and processes specific to UWNC operations. Serves as a liaison with others both within and outside the organization regarding public relations, events, purchasing, facilities, information, and technology. 


The ideal candidate Is an effective communicator, capable of determining how best to reach different audiences and executing communications based on that understanding. Can work collaboratively with others to meet shared objectives and goals. Consistently seeks new ways to grow and be challenged using both formal and informal education and training. Is flexible in approach and demeanor to align with the staffing demands of evolving circumstances. Initiative and judgment are required in the absence of specific directions. 


Principal Job Responsibilities 


  • Provide support to the Executive Director by remaining aware of organizational goals.
  • Provide ongoing communication and prioritize work to meet deadlines.
  • Maintain and distribute organizational calendars.
  • Contact donors, board members, community leaders, partner organizations, volunteers, and other persons significant to UWNC to transmit information and obtain data.
  • Schedule virtual meetings on a variety of online platforms. 
  • Answer, screen, and direct incoming calls. 
  • Greet both internal and external guests, field questions, and inquiries.
  • Organize and maintain confidential paper and online record systems, including donor, volunteer, and contact database management. 
  • Track and order office supplies, arrange for equipment maintenance; and maintain the organization’s office in an organized and efficient manner.
  • Sort and distribute incoming mail. Prepare outgoing mail and other correspondence. Create letters, reports, newsletters, presentations, brochures, and press releases from rough drafts, editing presentation, grammar, punctuation, and spelling as necessary.
  • Support the UWNC team with copying, faxing, scanning, filing, mailing, and other tasks of a similar nature as needed. 


Key Skills, Attributes, and Competencies Desired


  • Capable of working remotely during the COVID-19 pandemic and in the UWNC office thereafter per local, state, and federal ordinances and guidelines.   
  • Can facilitate meetings via online platforms (Zoom, Google Meet, and others)
  • Ability to field inquiries and manage customer relations with a high level of customer service and confidentiality
  • Strong written and communication skills
  • Ability to work collaboratively
  • Ability to manage multiple projects at one time
  • Excellent at organization skills
  • Ability to organize and retrieve files and records
  • Willing to learn, able to adapt to new processes and systems, and able to follow direction.


Qualifications


  • College degree or high school diploma and equivalent and two years of office administration or similar experience.
  • Non-profit experience desired.
  • Intermediate skills and experience in Microsoft Office programs (e.g., Word, Excel, PowerPoint), Google Apps (e.g., Gmail, Google Calendar, and Google Drive), and social media applications. 
  • Possession of a valid driver's license and reliable transportation in an insured vehicle.


Although this position primarily involves work in an office setting, it will likely require traveling throughout the county and occasionally attending events during evening and weekend hours.
